The ideal candidate will play a vital role in assisting with various administrative tasks related to construction projects, including pay applications, AIA documents, and change orders.
This role requires strong organizational skills, an understanding of construction accounting principles, and the ability to work collaboratively with construction professionals.
Key
Responsibilities:
Accounts Payable functions to include data entry, receipt of subcontractor insurance, lien waiver release, and other duties as assigned Pay Applications (Pay Apps):
Assist in the preparation and submission of pay applications in compliance with contract terms and deadlines.
Collaborate with project managers and subcontractors to ensure accurate documentation and calculations.
Maintain records of pay applications and payment receipts.
AIA Documents:
Familiarity with AIA (American Institute of Architects) documents and forms.
Ensure timely submission and processing of AIA documents.
Construction Accounting:
Basic understanding of construction accounting principles, including job cost accounting.
Assist with data entry and reconciliation of financial records related to construction projects.
Collaborate with the accounting team to ensure accurate and up-to-date financial information.
Documentation and Filing:
Maintain organized records and filing systems for all construction-related documentation.
Ensure that all documentation is easily accessible and up to date.
Communication and Collaboration:
Work closely with project managers, subcontractors, and other team members to facilitate efficient project operations.
Provide support and assist in resolving administrative issues as they arise.
Additional
Responsibilities:
- Assist with the preparation of financial statements and reports - Perform journal entries and reconciliations - Assist with month-end and year-end closing processes - Maintain accurate and up-to-date accounting records - Process accounts payable and accounts receivable transactions - Assist with payroll processing using Kronos or similar software - Ensure compliance with GAAP (Generally Accepted Accounting Principles) - Assist with tax preparation and filing - Provide support for audits and financial reviews - Collaborate with cross-functional teams to resolve accounting issues
Qualifications:
High school diploma or equivalent.
Post-secondary education in construction management or a related field is a plus.

years of experience in a construction administrative role, with a focus on pay applications, AIA documents, and change orders.
Basic knowledge of construction accounting principles.
Proficiency in Microsoft Office Suite, including Excel, and Word.
Proficiency in using accounting software such as PeopleSoft, Sage, or similar systems Strong organizational and multitasking skills.
Excellent communication and interpersonal skills.
Attention to detail and accuracy.
Ability to work in a fast-paced, deadline-driven environment.
Excellent mathematical skills and attention to detail.
Familiarity with tax regulations and reporting requirements.
